See how real tasks get done

Here's what it looks like when your board uses KindHOA to handle the most common HOA responsibilities. Each one takes minutes, not hours.

Collecting HOA Dues

From creating a bill to money in your bank account — here's the whole process.

1

Board creates invoice

Set the amount, due date, and which residents to bill. You can bill everyone at once or one at a time.

2

Residents get notified

Each resident gets a push notification and email with a link to pay online — card or bank transfer.

3

Resident pays online

They click the link, choose their payment method, and pay in under 60 seconds. Or set up auto-pay so it happens automatically.

4

Money hits your bank

Stripe deposits the funds directly into your HOA's bank account within 2 business days. You see it on your dashboard instantly.

Also built in

  • Set up recurring schedules so monthly dues are billed automatically
  • Late fees are calculated and applied on their own
  • Choose who pays the processing fees — your HOA or the resident

Handling a Rule Violation

When someone's lawn is overgrown or a rule is broken — here's how your board handles it.

1

Board spots a violation

A board member logs the issue — what rule was broken, which property, and adds a photo if needed.

2

Resident gets a notice

The homeowner gets a push notification and can view the details in their dashboard, including any photos.

3

Conversation happens

The resident can respond, ask questions, or explain. All messages are tracked in one place — no lost emails.

4

Resolved or fined

Once fixed, the board marks it resolved. If not resolved in time, a fine can be added as an invoice automatically.

Also built in

  • Full audit trail of every notice and response
  • Fines create invoices that can be paid online
  • Board members can assign violations to specific committee members

Maintenance Requests

A resident reports a broken sprinkler head — here's how it gets fixed.

1

Resident submits a request

They describe the problem, attach a photo, and submit it through their dashboard. Takes 2 minutes.

2

Board gets notified

Every board member gets a push notification. The request shows up on the dashboard with all the details.

3

Board requests vendor bids

With one click, the board can send the job out for bids. Vendors get an email with a link to submit their quote.

4

Work gets done

The board picks a vendor, the resident is updated, and the vendor invoice is tracked in your finances.

Also built in

  • Vendor bids come in through a secure portal — no phone tag
  • Vendor invoices are tracked alongside your other HOA finances
  • Residents can see the status of their request at any time

Architectural Change Requests

A homeowner wants to paint their house or add a fence — here's the approval process.

1

Homeowner submits a request

They describe what they want to change, upload plans or photos, and submit for review.

2

Committee reviews it

Board or committee members review the submission, leave internal notes, and discuss.

3

Board votes

Members cast their vote — approve, approve with conditions, or deny. The decision is recorded.

4

Homeowner gets the decision

The homeowner is notified of the result with any conditions. Everything is documented for your records.

Also built in

  • Supports photos, plans, and documents up to 5MB
  • Full message thread between homeowner and board
  • Decision history is kept for future reference and audits

Events and Volunteer Coordination

Plan a neighborhood cleanup, pool party, or holiday event — and get people to help.

1

Create an event

Set the date, time, location, and description. Board members or residents can create community events.

2

Request volunteers

Need people to bring drinks, set up tables, or direct parking? List volunteer tasks and how many people you need.

3

Neighbors sign up

Residents see the event and volunteer needs. They pick the task they want to help with — it's that easy.

4

Coordinate with the group

A group chat is automatically created for all volunteers so the organizer can share updates and details.

Also built in

  • Push notifications let the whole community know about new events
  • Volunteers can chat together in a dedicated group conversation
  • Board or organizer can post announcements to all volunteers at once

Polls and Community Voting

Need the community's input on a budget, rule change, or vendor? Run a poll.

1

Board creates a poll

Write your question, add the choices, set a deadline, and decide if it's anonymous or identified.

2

Community gets notified

Every resident gets a push notification and optional email with a personal voting link.

3

Residents vote

One vote per household. They can vote from their phone, tablet, or computer — no meeting required.

4

Results are tallied

See results in real time with quorum tracking. When the poll closes, the board can share the outcome.

Also built in

  • Supports anonymous voting for sensitive topics
  • Track quorum — see how many votes you still need
  • Email-based voting links for residents who don't log in often

The Big Picture

How everything connects

KindHOA isn't a bunch of separate tools — it's one connected system. When something happens in one area, the related parts update automatically.

Your KindHOA Dashboard

Everything flows through one central place

Maintenance → Vendor Bids → Finances

A repair request turns into vendor bids. The winning bid becomes a vendor invoice tracked in your finances.

Violations → Fines → Invoices

An unresolved violation creates a fine. That fine becomes an invoice the resident can pay online.

Events → Volunteers → Group Chat

An event that needs help creates volunteer tasks. Volunteers are added to a group chat to coordinate.

Announcements → Push → Email

Post an announcement and it reaches residents three ways: in-app, push notification, and email.

Invoices → Auto-Pay → Bank

Set up recurring dues. Auto-pay charges residents automatically. Money goes straight to your bank.

Documents → AI Search → Answers

Upload your CC&Rs, bylaws, and minutes. The AI assistant can answer questions from your documents.

No more juggling separate tools

Most boards use email for announcements, spreadsheets for finances, a shared drive for documents, and phone calls for maintenance. With KindHOA, it's all in one place. When a resident pays an invoice, you see it on your dashboard. When a maintenance request comes in, you can send it out for vendor bids with one click. When a volunteer signs up for an event, they're automatically added to the group chat. Everything just works together.

Common questions

How long does setup actually take?

Most boards complete setup in 10-15 minutes. Creating your community, connecting Stripe, and importing residents can all be done in one sitting.

Do my residents need to download an app?

No. KindHOA works in any web browser on phone, tablet, or computer. Residents can add it to their home screen for an app-like experience with push notifications.

Can I switch from another platform?

Yes. You can import your resident list via CSV. Financial history would need to be re-entered or tracked going forward, but most boards find the transition painless.

Is my financial data secure?

Absolutely. All payments are processed by Stripe (PCI-DSS compliant). Your data is stored with 256-bit encryption, row-level security, and full audit logging.

What if I need help during setup?

Email support@kindhoa.com anytime. We typically respond within 24 hours on business days, and paid plan customers get priority support.

Do I need to be tech-savvy to use this?

Not at all. KindHOA is designed for volunteer board members who would rather be enjoying their weekend. If you can check email and use Facebook, you can use KindHOA.

What happens if a resident doesn't use the internet?

No problem. Board members can mark check payments as received manually. Physical mail integrations are coming soon. Residents who prefer paper can still have their invoices managed by the board.

Your community is 15 minutes away from organized

No credit card. No contracts. Just a better way to run your HOA.
